Typeform intake forms
Use a Typeform intake form to MineOS so every new vendor or tool request creates an inventory record, enriches it and opens the right assessments.
Many teams already collect new vendor and tool requests with Typeform. The Typeform integration connects that form to MineOS, so each submission becomes the start of a workflow: the vendor is added to your inventory, enriched, and reviewed with the right assessments, without anyone copying details across by hand.
How it works
- An employee submits your Typeform intake form, for example to request a new vendor or AI tool.
- MineOS adds the vendor to your inventory. If the vendor is in the MineOS catalog, it's added with its catalog details. If not, a custom data source is created.
- Mapped answers fill in the vendor's details, such as its website and business owner.
- The full submission, including every question, answer and attached file, is saved with the vendor as context for Mira AI.
- Vendor scout researches the vendor, and your workflow rules open the right assessments.
- Mira drafts the assessments using the submission and Vendor scout's research, and your team reviews them.
Design your intake form
Your form should ask only what the requester actually knows at the time of the request. MineOS, Vendor scout and Mira fill in the rest.
| Question | Why it matters |
|---|---|
| Vendor name | Creates or matches the vendor in your inventory |
| Vendor website (required if its a vendor flow) | We use this to match know which vendor to add to your inventory and vendor scout uses the website to research the vendor |
| Business owner | Becomes the vendor's business owner in MineOS and receives approval notifications |
| What the tool is for | Gives Mira the business purpose for drafting assessments |
| Whether it will process personal data | Can trigger a privacy assessment |
| Which systems it will connect to | Can trigger a security assessment for integrated tools |
| Which AI features you plan to use | Can trigger an AI assessment |
| Business criticality | Can decide whether a security assessment is needed |
| Supporting documents, such as a contract, DPA or security report | Gives Mira evidence for its drafts |
Make vendor name and website required fields. This reduces incomplete requests and duplicate records. [approve: limitation: MineOS doesn't merge duplicate submissions for the same vendor, so each submission creates a new record]
If you want rules to branch on an answer, such as whether the tool processes personal data, ask that question as single choice or multiple choice.
Trigger conditions
By default, every submission starts a workflow. You can also add conditions, so only some submissions do. For example, only requests that process personal data, or only requests for AI tools. Conditions can be combined with all (AND) or any (OR) logic.
What happens next
The submission is the starting point. What follows is set by your workflow rules, such as:
- Running Vendor scout automatically, with or without manual review of its suggestions
- Opening a privacy assessment when the tool processes personal data
- Opening a security assessment for critical tools or tools that connect to other systems
- Opening an AI assessment when AI features are mentioned
- Assigning owners and inviting collaborators, such as the requester
- Notifying teams by email or Slack
- Updating the vendor's status when all assessments are completed

Set up the integration
The Typeform integration is set up together with your MineOS team. You'll need access to your Typeform account to connect it, and your team will help you map questions to fields and configure the rules for your workflow. Contact your customer success manager to get started.
